Building a dream home or completing a renovation project is often portrayed as a smooth journey from start to finish.

Let’s shed some light on what happens when things don't go according to plan and how we handle these situations

1. Communication Breakdowns

One of the most common issues home owners & builders face is communication breakdowns during a project. Despite efforts to ensure clarity and transparency, misunderstandings can occur. There are so many moving parts in a building or renovation project, it’s bound to happen. This can lead to delays, errors in construction, or even disputes. There is also variance in what people expect in terms of communication - some like emails, some want to know every detail, some only want to know the big things.

How we tackle this:

At Zen Builders, we emphasise open communication from the outset. Regular site meetings are scheduled at the start of a project to ensure that all parties are meeting face-to-face to discuss progress, goals, challenges and provide opportunity to share anything of relevance. We also communicate through email each week as a written track record of what we have completed in the week prior and what the intentions are for the week ahead. We take the view point of “If I was the homeowner, what would I want in this situation?”. This helps us to communicate with our clients at the forefront all the time.

When misunderstandings do arise, we prioritise resolving them swiftly to keep the project on track. This could be through email, a phone call or an additional face-to-face catchup.

2. Unforeseen Challenges

No matter how meticulously you plan, unforeseen challenges can arise during construction. These may include bad weather, supply chain disruptions, or unexpected site conditions that impact timelines and budgets.

How we tackle this: Our experience has taught us to expect the unexpected. We build contingency plans into our schedules and budgets, allowing flexibility to adapt to changing circumstances. Most importantly, we communicate these challenges so that you, the client, are informed every step of the way.

3. Quality Control

Maintaining high standards of craftsmanship is non-negotiable for us. However, occasionally, quality issues may arise due to human error, material defects, or lapses in supervision. This could be during the project or afterwards. It’s important to have insurances and guarantees in place and as a client, knowing what to do if things go wrong.

How we tackle this: Quality control is ingrained in our processes. We conduct regular inspections at critical stages of construction, ensuring adherence to building codes and the Zen way. We have built checklists for each and every stage of the building process which all of our team are trained on and use on a daily basis.

In the event of a defect or substandard work, we take immediate corrective action to uphold our commitment to quality. Did you know that by default there is a 12 month defects warranty period? At Zen Builders, we stand by the quality of workmanship and our personally guarantee is 18 months for defects. We also offer our eligible clients a Halo guarantee which is a 10 year defects policy.

4. Budget Overruns

Eeek! This is a hot topic and we would say one of our client biggest concerns when starting a building project. Managing costs effectively is crucial for both clients and builders. However, fluctuations in material prices, scope changes, or unforeseen expenses can lead to budget overruns.

How we tackle it: Here’s a little bit of insight… We always advise our clients to EXPECT budget overruns and PLAN for them with contingency funds. We provide transparent, detailed cost estimates upfront and monitor expenses closely throughout the project. When faced with cost increases, we communicate promptly with clients, exploring options to mitigate financial impacts without compromising quality.

5. Resolving Client Concerns

The reality is, that there are a lot of decisions to make when building. You have a vision and you want your builder to make it a reality. Sometimes, feelings of overwhelm can take over and you begin to doubt the process. Addressing client concerns promptly and effectively is essential in maintaining trust and delivering a successful project.

How we tackle it: Remember those site meetings we mentioned earlier? Well this is where they become critical. Our client are given the opportunity to share feedback and concerns throughout their project. Regular check-ins and feedback allow us to address issues proactively when they happen rather than allowing them to build up over time. We encourage our clients to share their concerns. When challenges arise, we approach them with empathy and a solutions-oriented mindset, working collaboratively with clients to find satisfactory resolutions. Because we have been through the building and renovation process personally, we understand what our clients are feeling.
